Installation
It may surprise you to know that even if your practice has only one desktop computer, you could be running the advocate reporting solution in as little as one day. Although training and learning to tailor the system to your specific needs takes an average of four days, the initial setup and installation of the system is quick and painless. Your advocate consultant will check to make sure you have a high speed, secure Internet connection and complete a simple site survey so we know what to expect when we install the server.

We know that every practice has busy and slow periods, so we schedule your installation to coincide with the quietest time possible. Allow a 3 hour window for a typical installation. Once installation is completed and tested we will set up your training schedule.

Training
Prior to the beginning of training, we encourage new users to familiarize themselves with the system. You can explore the different sections and practice inputting data and manipulating the various functions. You cannot damage the system by doing this, and all "practice" data will be wiped from the server before you go live with the system.

Experience has shown that the average user is 'good to go' after about four, 3 hour sessions.

To get the most out of the advocate reporting solution, we start with the Administration Panel. Although the forms templates provided cover about 90% of typical Case Management documents required, you will learn how to tweak them to reflect your actual process. The closer these forms match your current forms, the easier it will be to work with them when you begin. If you have a logo and practice information that always appears on your documents, we will help you incorporate them so they appear as letterhead and footers on each page.

During this part of training, you will learn how to set up "permissions" and "roles" for all personnel that will use the software, to ensure security and determine who has access to which parts of your content. This training is user specific, as not all personnel will have access to the Administration Panel. With the digital environment now matching your office process, we move on to the Encounter section. Here, you will input patient data, recording all mileage and time along with phone calls and faxes. Because there is a space for everything, you will learn to populate each info field in the exact same order. As you become adept at this, you will notice you can actually record more data in less time leading to far more accurate reports and invoices. If there is data that you normally record that is not provided for, we can go back to the Admin Panel and create that extra field at that time. Once you are conversant with this process and are comfortable with saving and recalling specific encounters, we will move on to the final stage of the training.

When you first go to the Report section, you will notice it is organized into columns. Each piece of data from a patient encounter is included in the menu choices for creating a report. You will learn how to select a patient, choose a date range for the report you wish to create, and then select the data points you want to appear in the report itself. This is the section of the software about which we hear the most favorable comments. You will find out how to generate reports and invoices in as many variations as you can conceive as fast as you can "point and click". As soon as a report is completed, you can go back in and change it entirely to issue a different version of the same data for submission to a new billing source. You will learn to create the summary statements and recommendations to treatments sections required to meet the most stringent criteria of all insurance companies and patient entities you deal with. Even though we leave you comfortable with the systems' use, your training will not stop at this point. Going forward, we will be available by phone or in person, if need be, to assist with any "bumps in the road" you may encounter as you convert to a digital environment.
